Our property management team has extensive training and experience in all areas of property management to meet the challenges your homeowner association may present.

At Davis Stirling Management Corp we recognize that each HOA is different and we work hard to tailor a management plan that best suits each individual association’s needs that they can afford.

Committed to our mission and philosophy of maximizing value, protecting your investment, and providing excellent service, our services include but are not limited to:

I. ADMINISTRATIVE

  • Assist with enforcement and rewriting of By-Laws, CC&R's and Rules & Regulations.
  • Prepare and mail all the required information for Annual Meetings.
  • Attend Annual Meeting of Association Members.
  • Attend Monthly Board of Directors Meeting, take and prepare Minutes (optional).
  • Prepare and mail all correspondence as directed by Board of Directors.
  • Prepare for renewal of insurance policies when due for expiration and assist with all insurance claims.
  • Shop insurance policies for competitive quotes (we have a master blanket policy most associations prefer).
  • Provide email and telephone consultation for Board Members.
  • Maintain and track vendor contracts
  • Maintain vendor insurance and legal status
  • Arrange for Annual Reserve Study as required under California Statute 1365
  • Assist Board in establishing
    • Assessments Collection Policy.
    • Alternative Dispute Resolution Policy
  • Maintain current roster of homeowners, addresses, and other means of communication.
  • Prepare sales/refinance packages and certifications.

II. ACCOUNTING & BOOKKEEPING

  • Assist Treasurer in preparing Annual Budget.
  • Collect and timely deposit all receipts.
    • Members may pay by check or direct deductions.
  • Notify Board on delinquencies of two months
  • Prepare for payment all approved payables.
  • Send delinquent assessment reminder and lien notices to homeowners.
  • Arrange for lien proceedings with an attorney for delinquent assessments.
  • Maintain and process Accounts Payable in a timely manner.
  • Provide monthly detailed reports to Board of Directors before the 10th of the following month (paperless an option).
  • Arrange for Annual Tax Returns and Annual Review.
  • Handle escrow documentation.
  • Manage on-site building personnel payroll.
  • Prepare and mail year-end vendor 1099’s.

III. ON - SITE SERVICE

  • Conduct routine walk through inspections and report to the Board as necessary.
  • Obtain bids for all required maintenance, repairs and improvements.
  • Supervise routine maintenance such as cleaning, landscape and pool maintenance.
  • Provide 24-hour emergency services.
  • Implement a preventative maintenance programs.
